Microsoft 365 Business Premium: Is It Worth the Upgrade?

Most small businesses in Australia are on Microsoft 365 Business Basic or Business Standard. They’re paying for email, Teams, and Office apps — and getting good use out of all of them. So when the question of upgrading to Business Premium comes up, the natural reaction is: do we really need to spend more?

For many small businesses — particularly those handling client data, financial records, or working in a regulated industry — the answer is yes. Here’s why.

What Business Basic and Standard Are Missing

Business Basic and Standard are solid productivity platforms. You get Outlook, Teams, SharePoint, OneDrive, and the Office apps. For day-to-day work, they do the job.

What they don’t include is the security layer that makes Microsoft 365 a genuinely protected environment. Specifically, you’re missing:

  • Device management — no way to enforce security policies across your team’s computers and phones
  • Endpoint protection — no enterprise-grade antivirus and threat detection built in
  • Advanced identity controls — limited ability to set rules around who can log in, from where, and on what devices
  • Information protection — no controls over how sensitive files are shared or accessed
  • Advanced email security — reduced protection against sophisticated phishing attacks and malicious links

These aren’t obscure enterprise features. They’re the foundations of a secure Microsoft 365 environment — and without them, even a well-intentioned setup has significant gaps.

What Business Premium Adds and Why It Matters

Business Premium includes everything in Standard, plus a security stack that closes most of the gaps small businesses leave open. The key additions:

Microsoft Intune — Device Management

Intune lets you manage and secure every device your team uses — company-owned or personal — from a central dashboard. You can enforce encryption, require PINs, push security policies, and remotely wipe a device if it’s lost or stolen. For a business where staff work from laptops, mobiles, and home setups, this is essential.

Microsoft Defender for Business — Endpoint Protection

Defender for Business is enterprise-grade endpoint protection sized for small business. It detects and responds to threats across all your devices — not just running scans, but actively hunting and containing threats before they cause damage. It replaces the need for a separate third-party antivirus subscription in most cases.

Azure AD Premium — Conditional Access

Conditional Access lets you set rules around how your Microsoft 365 environment is accessed. For example: block logins from outside Australia, require MFA on every sign-in, or prevent access from devices that don’t meet your security requirements. This is one of the most powerful tools for preventing account takeovers — and it’s only available in Premium.

Microsoft Defender for Office 365 — Advanced Email Security

Safe Links and Safe Attachments scan every email and link in real time, blocking malicious content before it reaches your inbox. For businesses that handle financial transactions or sensitive client communications, this is a meaningful layer of protection on top of standard spam filtering.

Microsoft Purview Information Protection

Apply sensitivity labels to documents and emails — controlling who can open, print, forward, or share them. Particularly useful for businesses that handle confidential client files, financial records, or any data that shouldn’t walk out the door when someone leaves.

Who Should Upgrade?

Business Premium isn’t necessary for every small business — but it’s the right choice if any of the following apply to you:

  • You work in accounting, financial services, bookkeeping, mortgage broking, or legal services
  • Your team handles client data, financial records, or any confidential information
  • Staff work remotely or use personal devices for work
  • You’ve had a cyber incident — or a near miss — in the past two years
  • You’re applying for cyber insurance and want to answer the security questions confidently
  • You want your IT environment to meet a recognised security baseline (Essential Eight, SMB1001)

If you’re a 10–20 person professional services business in the Hunter Region, there’s a strong chance Business Premium is the right fit.

What Does the Upgrade Actually Cost?

The price difference between Business Standard and Business Premium is approximately $10–$15 per user per month (pricing varies — check current Microsoft pricing or talk to us for an accurate quote).

For a team of 10, that’s roughly $100–$150 per month. In return, you’re getting device management, endpoint protection, advanced identity controls, and information protection that would otherwise require multiple separate products — typically at much higher combined cost.

For most small businesses, it’s the best value security investment available in the Microsoft ecosystem right now.

The EOFY Angle — Why Now Is a Good Time to Act

If you’re considering the upgrade, end of financial year is a logical time to do it. Microsoft 365 licences are an operating expense — potentially tax-deductible in the current financial year if actioned before 30 June. Talk to your accountant about timing, but if the upgrade makes sense for your business, doing it now rather than later is worth considering.

Not Sure Which Plan You’re On?

A lot of small businesses aren’t entirely sure which Microsoft 365 plan they’re paying for — or what it actually includes. That’s a common starting point for our conversations with new clients across Newcastle and the Hunter.
